Specific to Provotrack:

Should you have a problem viewing your uploaded covering/supporting PDF document, or if a prompt says there are no pages, you may have saved your PDF with spaces or unacceptable symbols. Try resaving the document with a short title, no spaces, and with the .PDF extension. Once you upload the new version of the document, if you still cannot see the uploaded document, try refreshing your browser. If you are still unsuccessful, close down Provotrack and re-open it. If you are still having a problem after trying this, try to ask someone in your office or in the Faculty Office who is using Provotrack if they can assist you in this upload. They may have to re-save your Word document in a PDF format and send it to you.

If you have a problem generating the PDF, it could be because you have not uploaded a covering document (Department). Provotrack requires a Department covering memo (even if you upload a simple test page that you have converted to PDF). Having the cover page will allow you to generate a PDF. If you generate without uploading something, you may end up having a document with a covering letter totally unrelated to your dossier.

Remember to create your program change forms with a title that is different from your other ones you create in the dossier. Provotrack will not differentiate between two identical titles and you will only see one of them. Each one you create must have a distinct title from the other.

There is a glitch in the program that sometimes replicates the program and course changes that you have created. If you happen to go into a dossier and see that you have two of each of your created items, do not go in and try to delete the extra copy. This will only delete the “real” dossier. Unfortunately, you will have to go into one of the items and make a small change, like adding a period in the rationale box, and saving it. It should correct the glitch. It may correct all of them, or if may require that you go into (one of each of the duplicates), make the change, and then they will revert to the original one course or one program change showing on the list that was originally created. If you try to print the dossier while this glitch is showing the doubles or triples, it will print the dossier with all the doubles or triples. So, before printing anything, make the small change, and it should be ok.
